Everything you need to get started with TrueAgri — from your first delivery note to connecting Xero and building custom reports.

1. Getting Started

TrueAgri is a farm management platform built for South African producers — from field allocation through delivery, invoicing, and accounting integration. This guide walks you through the first 30 minutes after you sign up.

Create your account

  • Sign up at https://trueagrihq.com/auth or via the Xero App Store → "Get this app"
  • If you sign up via Xero, your first farm/company is created automatically using the Xero organisation name and your Xero connection is linked for you
  • If you sign up directly, head to Settings → Integrations to connect Xero (optional but recommended)

Set up your farm structure

  • Settings → Farms: create one or more farms (e.g. "Home Farm", "East Block")
  • Settings → Fields: draw or import field boundaries, set hectares and product allocations
  • Settings → Seasons: create a season (e.g. "2026/27") and assign your fields to it
  • Settings → Clients/Agencies: add your buyers and packhouse contacts

First delivery note

  • Delivery Notes → New: pick a field, agency, product, and weight
  • TrueAgri auto-calculates transport distance and cost if you have town distances set
  • Save → the delivery note generates a PDF and (if connected) syncs to Xero as a draft invoice line

2. Connecting Xero

TrueAgri uses a strict one-to-one mapping between Xero organisations and TrueAgri companies. Each TrueAgri company links to exactly one Xero org and vice versa.

How to connect

  • From inside TrueAgri: Settings → Integrations → Connect to Xero. You will be redirected to Xero to authorise access, then back to a mapping screen
  • From the Xero App Store: click "Get this app" on the TrueAgri listing. You will be sent to Xero to authorise first, then to TrueAgri to create your account
  • If you have authorised multiple Xero organisations at once, you will see a mapping screen letting you link each one to a TrueAgri company

What syncs to Xero

  • Contacts: agencies and clients you create in TrueAgri are pushed to Xero
  • Invoices: delivery notes converted to invoices are posted as Xero invoices, including line items, tax rates, and tracking categories
  • Deduction lines: marketing rates and other deductions become negative line items on the Xero invoice
  • Budgets (optional): the Budget tab can post your figures to the Xero Budgets API

What does NOT sync

  • Field boundaries, weights, agronomic data, and reports stay in TrueAgri only
  • Xero does not push data back to TrueAgri except via the Xero webhook (invoice updates only)

Disconnecting Xero

  • Settings → Integrations → Disconnect Xero will revoke the OAuth token and stop all sync
  • Your data in TrueAgri is preserved; your data in Xero is preserved separately
  • You can reconnect at any time using the same flow

3. Delivery Notes & Invoicing

Delivery notes are the source of truth for what was harvested, where it went, and what it should be invoiced for. They link field activity directly to accounting.

Creating a delivery note

  • Pick the field, product, grade, size, and weight
  • Pick the agency (buyer) — the system picks up the agency's marketing rate and any contact-specific tax category from Xero
  • Optional: attach a transport rate (R/km) and the system snapshots distance from your town distances table
  • Save → a printable PDF is generated and the delivery note appears in the Deliveries tab

Converting to an invoice

  • Delivery Notes → select rows → "Convert to invoice". The invoice inherits the line items, tax rate, tracking category, and deduction lines
  • Review the invoice draft, then click "Post to Xero" to push it as a Draft invoice in Xero. You can still edit on either side until Approved
  • Once posted, the Xero invoice number, status, and amount-due are mirrored back into TrueAgri via the Xero webhook

Deduction lines

  • Marketing/agency rates auto-prefill as a deduction line when the agency has a marketing rate set
  • You can add custom deduction lines (levies, packaging, cooling) per invoice
  • All deductions serialise to Xero as negative line items, so the Xero invoice total matches what the producer is paid

4. Reports & Analytics

TrueAgri ships with a Reports section covering deliveries, agencies, products, fields, and division performance, plus a customisable Analytics dashboard.

Standard reports

  • Deliveries: tonnage and revenue by date, agency, product, field, or grade
  • Agencies: revenue, awaiting payment, average price per tonne (or per kg) by buyer
  • Products: catalogue with grade, size, weight, and pricing breakdown
  • Fields: per-field profitability, yield per hectare, input costs
  • Division Performance: revenue and breakeven by product group (division)

Custom analytics

  • Analytics tab: build your own dashboards with bar/line/area/pie/card/table widgets
  • Add measurements (calculated metrics) and dimensions (groupings) from the right-side panel
  • Filter widgets by season, division, agency, or any custom dimension

5. Budget & Cash Flow

The Budget tab lets you plan revenue, expenses, and cash flow per division, per field, and overall — then overlay actuals once the season starts.

  • Divisions: set a price per tonne and yield target per crop group
  • Income Statement: revenue → inventory → direct costs → breakeven per division
  • Fields tab: override division defaults at the field level (per-field yield/price overrides)
  • Consolidation: 12-calendar-month view across all divisions, with hide-empty-by-default
  • Procurement: planned vs ordered inputs, derived from your stock ledger
  • Cash Flow: net month-by-month based on harvest splits, direct costs, and inventory buy-by months
  • Actuals overlay: switch on "Show actuals" to compare planned vs delivered per division
  • Post to Xero: optionally push the consolidated budget to the Xero Budgets API

6. Account & Billing

TrueAgri is billed through Polar.sh in South African Rand. You can switch plans, cancel, or update payment methods from Settings → Billing.

Plans

  • Starter (R500/month) — single farm, up to 25 fields, core features
  • Plus (R900/month) — multiple farms, unlimited fields, Xero integration, analytics
  • Pro (R2 250/month) — everything plus advanced analytics, WhatsApp workflows, and priority support
  • 30-day free trial on signup; no credit card required

Adding team members

  • Settings → Team → Invite a user. Roles are Admin (full access), Editor (data entry + reports), Viewer (read-only)
  • Invited users receive a sign-in email and join your company on first login

Cancelling

  • Settings → Billing → Manage subscription → Cancel. Your account stays active until the end of the billing period
  • After cancellation we retain your data for 30 days in case you want to reactivate, then delete or anonymise it per our Privacy Policy

7. Troubleshooting

Most issues fall into a handful of patterns. If something here doesn't fix your problem, get in touch using the contact details below.

Xero says "This app needs to be connected first" when I try to post an invoice.

Settings → Integrations → Reconnect Xero. Xero refresh tokens expire after 60 days of inactivity — reconnecting gets a fresh one. Your existing invoices are unaffected.

Why are some Xero invoices showing as "Voided" in TrueAgri?

If you void an invoice in Xero, the webhook tells TrueAgri and we mirror the status. Voided invoices stop counting in revenue/awaiting-payment metrics.

I see "(legacy filter)" on a chart filter — what does it mean?

An older saved filter still references a Convex ID instead of the dimension's name. Open the chart, remove the filter, and re-add it from the dropdown — the badge will go away.

My delivery note didn't auto-calculate transport cost.

Check Settings → Transport: the destination town needs a row in Town Distances, and the agency needs a transport rate (R/km). Once both exist, every new delivery note snapshots the distance and cost at creation time.

Tax rate / tracking category isn't auto-populating on my invoice.

The invoice picks up the agency's Xero tracking category and tax rate. Set them in Contacts → [Agency] → Xero settings. If the agency was created before this feature shipped, edit and re-save once to migrate.

How do I move a field between farms or change its season?

Open the field detail panel, click Edit, and re-assign the farm or season. Historic delivery notes keep the original farm/season snapshot so reports stay consistent.

Can multiple users from my farm log in at the same time?

Yes — Settings → Team → Invite. Each user gets their own login and role. Concurrent sessions are supported on all plans.

Is my data encrypted?

Yes. All data is encrypted in transit (TLS 1.2+) and at rest. Third-party tokens (Xero, WhatsApp) are individually encrypted in our database with rotated keys. See our Privacy Policy for full detail.

8. System Status & Updates

We publish incidents and scheduled maintenance windows on our status page. For production issues affecting your farm, contact support immediately — we monitor support@trueagrihq.com during business hours.

  • Status page: status.trueagrihq.com (coming soon — in the interim, follow updates via support email)
  • Release notes: posted in-app under the bell icon when new features ship
  • Scheduled maintenance: announced via banner inside the app at least 48 hours in advance
